Privacy policy

What we collect, why, and what you can ask of us.

In short

You can read this entire site without giving us anything at all.

We collect information only if you write to us or apply for membership. That information is used to reply to you and to manage your membership — nothing else.

We sell nothing, we pass nothing on to third parties, and we run no advertising.

At any time you may ask us to show you what we hold, to correct it, or to delete all of it.

Who is responsible for your information

The Amani-Kwetu Association, a charitable organization registered in Ontario under number 1796981, with its head office at 5958 Meadowglen Drive, Ottawa, Ontario K1C 5Y2, Canada.

We are an association of volunteers. There is no legal department behind this text: it simply sets out, as honestly as we can, what we do with the information you entrust to us.

What we collect, and when

If you are only reading

Nothing is asked of you. Like any website, our host keeps technical logs — IP address, browser type, pages visited — which are needed to run and secure the server.

We do not go through those logs to identify you.

If you write to us

The contact form sends us your name, your email address, the subject and the content of your message.

We use it to reply to you, and we keep the exchange for as long as following up requires.

If you apply for membership

The membership form collects your name, your email address, the username you choose, your city and country of residence, and — if you provide them — your telephone number, postal address, skills, and how you heard about us.

An account is created in your name on this site. Your password is never transmitted or stored in readable form: it is encrypted the moment you type it, and no one in the association can read it.

If you make a donation

Donations are made by Interac e-Transfer, and therefore outside this website. No banking data passes through amanikwetu.org and we keep none of it.

What we receive from your bank is your name and any message you attach. We keep that for our bookkeeping, as the law requires.

What we do not do

We do not sell, rent or trade your information with anyone.

We do not pass it to any partner organization, either in Canada or in the Democratic Republic of the Congo.

We display no advertising and install no advertising trackers.

We publish no member directory and make no personal contact details public without your explicit agreement.

We will never ask you for your password — not by email, not by telephone, not through a form. If anyone does, it is an attempt at fraud.

Cookies

This site sets a small number of cookies, all of them necessary for it to work:

  • a language cookie, which remembers whether you read the site in French or in English;
  • session cookies, only if you sign in to the members area, to keep you signed in;
  • a cookie set by the anti-robot service described opposite.

No advertising cookies, no cross-site tracking.

One third-party service: Google reCAPTCHA

Our forms are protected against automated sign-ups by Google reCAPTCHA. Without it, bots would create dozens of false accounts.

This service is provided by Google and involves sending Google your IP address and certain technical data, including outside Canada. We have no control over that processing.

Where your information is held

Your information is held in this site's database, with our host NameHero, and in the backup copies we make regularly.

Emails you send us arrive in the association's mailboxes.

NameHero is a United States company operating data centres in several countries. Your information may therefore be stored or processed outside Canada, and be subject to the laws of the country where it is held.

For how long

Your member account is kept for as long as your membership is active. If you leave the association or ask us to remove it, we delete the account and the information attached to it.

Your messages are kept for as long as following up on your enquiry requires.

Donation records are kept for as long as Canadian bookkeeping law requires.

A membership application that is declined is deleted within a reasonable time.

Your rights

Under the Personal Information Protection and Electronic Documents Act (PIPEDA), you may:

  • see the information we hold about you;
  • have it corrected if it is inaccurate or incomplete;
  • ask for it to be deleted, together with your account;
  • withdraw your consent at any time;
  • complain if our answer does not satisfy you.

One sentence is enough. Write to infos@amanikwetu.org and we will reply within thirty days.

If our answer does not satisfy you, you may contact the Office of the Privacy Commissioner of Canada.

Security

The site is served over HTTPS, passwords are encrypted, access to the administration area is restricted, and the members area documents are visible only to signed-in members.

We take these precautions seriously, but no organization can guarantee absolute security. If an incident affected your information, we would tell you.

Changes to this policy

We will update this page if our practices change — for example if the association one day adopts an online giving method.

The date below shows the last revision. If a change matters to members, we will tell them directly.
